General Purpose: The Assistant Shelter Manager will provide direct assistance to the Shelter Manager by helping provide support in maintaining a healthy, safe, and supportive shelter environment. This position plays an integral role in contributing to and executing the mission of Home of the Sparrow. The Assistant Shelter Manager will also offer case management and community support to residents and children as needed.
Key Responsibilities:
- Under the direction of the Shelter Manager, assists with providing oversight of the Transitional Shelter programs and facility.
- Provides back-up for the Shelter Manager should leave of absence occur.
- Assists Shelter Manager with providing direction and support to all staff members including: interns and volunteers.
- Assists the Shelter Manager with challenges needing an emergency response, crisis intervention/de-escalation, and client conflict resolution.
- Participates in interviewing and hiring decisions for new shelter staff.
- Attends and presents at all Team Meetings.
- Attends and fully participates in all scheduled trainings required by the agency.
- Prepares all shelter orders (i.e. move-in/out orders, supply orders and maintenance requests).
- Upholds Home of the Sparrow Rules, as defined in the Shelter Rules document.
- Relates positively to the community, representing HOS in a positive manner at all times.
- Assists in orchestrating client move-in and move-outs, observing Shelter Guidelines.
- Complete Individual Treatment Plans with clients every six months.
- Provides Case Management, Client-Centered Consultation, and Community Support services to clients as it relates to their Individual Plans.
- Documents all client interactions appropriately.
- Advocates on behalf of clients when indicated.
- Completes monthly audits on Employment/Education changes and submits data to the Employment Specialist.
- Provides transportation for clients as it pertains to their Individual Plans.
- Completes all weekly shelter duties as assigned by the Shelter Manager.
- Conducts daily Safety and Maintenance Inspections.
- Counts Petty Cash daily. • Distributes and records gift card usage by clients.
- Helps to ensure a clean, safe, and supportive environment.
Additional Responsibilities:
- This position will require occasional weekend hours, and rotating on-call emergency response.
- Assists with data quality. Ensure accuracy of data into billing and HMIS system.
- Train and mentor staff on HMIS functionalities.
- Assists Shelter Manager with coordinating staffing schedule to ensure the shelter is appropriately staffed on a daily basis.
- Orientate new individuals to the shelter.
- Meets with the Shelter Manager for supervision at least monthly.
- The Shelter Assistant Manager may also perform the function of Intake Manager depending on the needs of the shelter (i.e. completing assessments, placing calls, conducting client intake meeting, running monthly/quarterly intake reports, ext.).
Knowledge & Skills: Strong, proven leadership and decision-making abilities. Strong computer skills to include spreadsheet and word processing skills (Excel, MS Word). Excellent organizational, interpersonal, oral and written communication skills. Ability to work both independently and cooperatively with co-workers and those outside the organization.
Supervisory Responsibility: Assists Shelter Manager with providing direction and support to all staff members, interns, and volunteers.
Physical Demands:
- Ability to lift up to 30 pounds.
- Balancing, stooping, kneeling, crouching, crawling and reaching are required.
- Sitting, standing and walking for extended periods of time.
Qualifications:
- Graduate Degree in Human Service or related field preferred and/or comparable work experience.
- Operational Shelter experience and knowledge of homelessness, trauma, mental health, and the challenges.
- Mental Health First Aid, QPR, and ACE training required.
