Events & Fundraising Coordinator

Pay: $23-25/hour
Position Summary: The Events & Fundraising Coordinator plans, coordinates, and executes fundraising and community engagement events that advance Home of the Sparrow’s mission while generating philanthropic revenue and strengthening donor, sponsor, volunteer, and community relationships. This position collaborates across departments to deliver exceptional events, increase community awareness, and support the organization’s annual fundraising goals.
Essential Functions
Event Planning & Execution
– Lead the planning and execution of all signature fundraising and stewardship events including the Annual Gala, Hope for Children Walk, Celebration of Women Luncheon, donor appreciation events, open houses, ribbon cuttings, community engagement activities, and third-party fundraising events.
– Develop comprehensive project plans, production schedules, timelines, budgets, logistics plans, and post-event evaluations ensuring all milestones, assignments, and deadlines are met.
– Coordinate venues, vendors, rentals, catering, entertainment, permits, insurance, audiovisual needs, signage, décor, and event-day logistics.
– Research, secure, and manage relationships with vendors, negotiating contracts and ensuring quality services while maintaining cost effectiveness.
– Develop contingency and risk-management plans for events.
– Serve as the primary point of contact for event sponsors, vendors, committee members, volunteers, and attendees, providing timely, professional, and proactive communication.
– Provide regular event updates to the Development Manager, proactively identifying challenges and recommending solutions to keep projects on schedule.
Fundraising & Corporate Partnerships
– Identify, cultivate, solicit, and steward corporate sponsors and in-kind partners.
– Secure sponsorships, auction packages, raffle prizes, and donated goods and services.
– Ensure all sponsorship benefits are fulfilled accurately and on-time, including signage, advertisements, recognition, tickets, and post-event stewardship.
– Support peer-to-peer fundraising campaigns and third-party fundraising initiatives.
– Assist with donor cultivation opportunities before, during, and after events.
Event Operations & Administration
– Manage event registration platforms, ticket sales, seating, auction software, guest check-in/out, payment processing, and financial reconciliation.
– Maintain accurate records in Bloomerang and ensure timely reporting.
– Maintain organized event records, contracts, vendor files, and historical documentation while preparing reports related to attendance, sponsorships, revenue, expenses, and overall event performance.
– Monitor event budgets and revenue goals while recommending opportunities to improve ROI.
Marketing & Communications
– Partner with the Marketing team to develop event branding, invitations, email campaigns, social media, webpages, printed collateral, sponsorship materials, and signage.
-Ensure consistent messaging and brand standards across all event communications.
Volunteer & Committee Leadership
– Coordinate event committees, agendas, timelines, and follow-up.
– Partner with the Volunteer Manager to identify volunteer needs, train, and supervise event volunteers.
Reporting & Stewardship
– Prepare sponsorship fulfillment, donor acknowledgements, recognition activities, and post-event stewardship.
– Prepare post-event reports with recommendations for continuous improvement.
Additional Responsibilities
– Represent Home of the Sparrow at community meetings and networking events.
– Support other Development initiatives and perform other duties as assigned.

Qualifications
– Bachelor’s degree in Communications, Marketing, Nonprofit Management, Business Administration, Event Management, or a related field preferred.
– Two to three years of progressively responsible experience in nonprofit fundraising, event management, hospitality, or development.
– Experience working with donor databases (Bloomerang preferred), Microsoft Office, fundraising platforms, and event software.
– Valid driver’s license.
Physical Requirements
– Lift and carry up to 30 pounds.
– Stand and walk for extended periods during events.
– Assist with event setup and teardown.
– Travel locally to meetings and event sites.

– Growth in sponsor retention and acquisition.
